Volunteer at Adaptation Canada 2020

Adaptation Canada 2020 will bring to Vancouver experts and leaders from diverse sectors, regions and jurisdictions to work on one of the most urgent issues of our time — how to build climate change resilience in our communities, ecosystems and economy.

*Note: All conference volunteers are entitled to attend one program session of 1.5 hours per day of volunteering. Some volunteers will attend additional plenary and/or concurrent sessions as a component of their volunteer service: see Volunteer Positions below.

Responsibilities and requirements

All volunteers must be 19+ years of age at the time of the conference and have a cell phone. It is preferrable for volunteers to be available for all four days of the conference. Here is the commitment:

  • One mandatory volunteer orientation: February 15 or 17 (11 am to 4 pm)
  • Attendance at the Conference: February 19-21 (see specific time commitments below).

Volunteer Positions

  1. Registration Table Management and Greeting Attendees
    1. Specific time commitment: 6 am-2 pm, February 19-21, 2020. Volunteers for registration will be able to choose one program conference time slot (1.5+ hours) to attend per day of volunteering.
    2. Duties:
      • Set up registration table before event starts
      • Help manage registration table
      • Greet and register attendees as they arrive
      • Hand out name tags and conference materials
      • Assist in navigating facilities (e.g., know where washrooms, water, emergency exits are located)
      • Help accommodate any special needs or abilities
      • Manage entrance and provide program and general information.

  2. Note-Taking at Concurrent Sessions
    1. Specific time commitment: February 19-20 (8 am-6 pm) and February 21 (8 am-1:30 pm). Volunteer note-takers will be able to choose one program conference time slot (1.5+ hours) to attend per day of volunteering. They will also attend concurrent sessions and/or opening and closing ceremonies in a volunteer capacity.
    2. Duties:
      • Write notes to record key presentation and discussion points at concurrent sessions
      • Support speakers with logistical tasks as needed
      • Connect with other volunteers/staff, as needed for the session

  3.  AV support and Timing for Concurrent Sessions
    1. Specific time commitment: February 19-20 (8 am-6 pm) and February 21 (8 am-1:30 pm). Volunteers for AV support and timing will be able to choose one program conference time slot (1.5+ hours) to attend per day of volunteering. They will also attend concurrent sessions and/or opening and closing ceremonies in a volunteer capacity.
    2. Duties:
      • Work with AV staff to ensure all AV requirements are met for each speaker
      • Support speakers’ needs during panels (water, pens/paper, laptop setup, PPT set-up
      • Move the microphone between speakers in interactive sessions or as otherwise needed
      • Keep time for speakers including giving “time remaining” reminders
      • Support speakers with logistical tasks as needed
      • Connect with other volunteers/staff as needed for the session.
  4. Simultaneous Interpretation AV Support
    1. Specific time commitment: February 19-20 (8 am-6 pm) and February 21 (8 am-1:30 pm). Simultaneous Interpretation AV support volunteers will be able to choose one program conference time slot (1.5+ hours) to attend per day of volunteering. They will also attend concurrent sessions and/or opening and closing ceremonies in a volunteer capacity.
    2. Duties:
      • Work with simultaneous interpretation staff at a desk to distribute simultaneous interpretation (SI) headsets to attendees during sessions needing interpretation
      • Keep good track of headsets
      • Collect headsets after presentations.

  5. Wayfinding to Help Conference Attendees
    1. Specific time commitment: February 19-20 (6:45 am-6 pm) and February 21 (6:45 am-10:30 am). Wayfinding volunteers will be able to choose one program conference time slot (1.5+ hours) to attend per day of volunteering.
    2. Duties:
      • Assist attendees in navigating facilities (e.g., know where washrooms, water, emergency exits are located)
      • Assist attendees in finding concurrent session rooms and event spaces
      • Assist attendees in navigating major public transportation routes (such as the SkyTrain and bus routes to the conference venue)
      • Provide program and general information
      • Assist with registration support as needed.
